What is personal information

Houses Comporta treats with profound respect and seriousness the safeguarding of its Guests privacy about the Guest as an individual, such as name, birth country, address, age, gender, e-mail, telephone number, credit card information, preferences and specific requests stated before, during or after the stay, including digital correspondence exchange. This data will be collected only with the Guest’s prior consent and processed in compliance with the European Union legislation on the General Data Protection Regulation.

 

Why personal information is collected

Our mission is present the Guest with a superior customer service. Personal information is collected to assist Houses Comporta in making a reservation for a Guest and aid in providing the services requested by the guest. By keeping this data, Houses Comporta improves the service delivered to the Guest every time there is a returning guest, it allows the Guest and Houses Comporta to confirm prior transactions and reconcile statements or invoices and helps keep the Guest informed of latest offers or other information that may be of their interest. If the Guest wishes not to receive information from Houses Comporta, that request can be made on his registration card upon stay or through an e-mail to [email protected]

When making a reservation:
At the time of making a reservation on the Houses Comporta website, the guest will be required to complete a reservation profile, which will contain his or her personal information, such as name, address, contacts, information about his children (for example, name, date of birth, age), as well as certain guarantee and deposit information needed to secure the reservation, such as a credit card number. By transmitting his personal information, the Guest acknowledges and agrees to the terms and conditions contained in this Privacy Policy. Due to the personal nature of the information provided, the reservation system is secure, protecting the Guest’s credit card number with Secure Socket Layer (SSL) encryption technology, transmitting it on a private network.

During the stay:
During the stay, Houses Comporta may record the Guest’s data to properly assemble a portfolio, which helps in case of the guest want to stay in one of the houses again, set our room rate and other possible expenses billed to that guest. This information is also recorded for Houses Comporta to comply with financial reporting requirements, including those imposed by auditors and government regulators. Certain information might be collected as required by local laws (e.g. passport data for SEF). Information concerning the Guest’s stay may also be stored (i.e. health issues, special requests, service issues). This data is kept in the Houses Comporta’s property management system and is combined with information from previous visits. In addition, the content of any document that the Guest sends Houses Comporta before, during or following his or her stay (including letters, comment cards, electronic documents such as e-mails and other similar forms of communication) may be retained. This information may be shared with Houses Comporta’s employees.

 

How we store personal information

Houses Comporta stores personal information in a secure location, be it a database or filing cabinet. Furthermore, measures are taken to ensure that only designated individuals have access to this information. For Houses Comporta to serve its Guest better and in a more personalized manner, the Guest’s profile is stored in the Management Systems, the central reservations management platform. Other transaction information is kept, such as the number of stays and the number of nights of each stay.

 

What personal information may be provided to third parties

Agents, contractors or third-party service providers of Houses Comporta may receive the Guest’s personal information while providing services to Houses Comporta itself, so that Houses Comporta can respond more effectively to the Guest’s needs. Using contractual or other arrangements, Houses Comporta ensures these parties protect any personal information in a manner consistent with the principles articulated in this Privacy Policy. Guest’s personal information will only be shared without his consent, outside Houses Comporta services, where: (1) it is required or authorized by law to do so (for example, in response to a legal subpoena); (2) it is required to provide the Guest with services requested by him, in which case it will be considered to have implied consent (e.g. car rental); (3) if the stay has been paid for by a third party (billing information will be provided to the paying party). If Casa da Volta suspects any unlawful activity is taking place, it may investigate and/or report its findings or suspicions to the police or other relevant law enforcement agency.

 

Retention time for personal information

Personal information will be stored for the minimum period required by law in the jurisdiction for any Hotel Unit (5 years). It may be stored indefinitely by Houses Comporta if there is a business purpose for doing so. Periodically, and if the Guest has not stayed in any of the houses for a certain period, personal information may be deleted.

Access, change and delete personal information

The Guest may access, correct, add, update or delete his personal data by contacting Houses Comporta using the e-mail: [email protected]. Houses Comporta may request a copy of a valid identification document to protect the Guest’s privacy and confirm identity before making any changes.
